A Project Manager’s Dream Application.
One of Epicom’s customers, a Texas-based construction company, needed a way to manage timesheets in SugarCRM. They have several projects going on at the same time and their supervisors needed to be able to staff workers for each project and properly manage them to prevent overtime. Additionally, supervisors needed to forecast the project completion time based on number of workers, hours worked, and bricks left to be laid. Based on the timesheet and schedule, they needed the ability to predict and monitor the cost of the project depending on hourly rate of the different workers and vendors.
To implement this in Sugar, Epicom built a custom module for the timesheet with a user friendly interface to enter the employee, job title, hourly rate and hours worked. Calculated fields were used to auto populate the total earned per day and overtime fields. Measuring and displaying the overtime value for each employee was critical to supervisors because it allowed them to quickly build and manipulate the crew schedule to keep labor costs down.
Additionally, the company wanted to monitor the efficiency of each worker and the impact it had on the project budget and timeline. To do this, a column for the number of bricks laid per crew team was included and automatically deducted from the total bricks estimated to complete the entire construction buildout.
The timesheet module links several submodules together and relates to other modules such as Employees, Projects, and Crews. It also links to another custom module for Cost Codes. Epicom built this module to store information about other vendors that may be used for the construction project. When creating a project schedule in the timesheet, supervisors can add time from this list of vendors.

By totaling labor, vendor, and material costs while building the project schedule and timesheet, an accurate budget is simultaneously built. Epicom built a connector to feed this information into the customer’s accounting system so that data flows seamlessly throughout each department without the need for manual data entry.
With the timesheet module in place, our customer can better manage projects on time and on budget.

Hi Amanda – I’m curious, could this module be used for tracking multilevel support “buckets.” Attempting to find an elegant solution for support/training type activities where a customer pays into an account and then time is deducted from the balance. The issue seems to be charging different rates for different “resources.” If this isn’t a good solution, do you have a direction to point me in?

Hi Colleen – The solution you are looking for seems to be very similar to how we set up our internal CRM system. In regards to the different rates for different resources, that could easily be done by adding a separate field to determine the rate type and use calculated fields to determine the rest.
